Description

The Technicians will provide support for conference rooms, both physical and virtual, audio-visual and technical support for meetings, conferences and major events, including operation of webcast, recording and post-processing of such recordings.

They will also maintain public information screens and their attached PCs, including regular maintenance of specific audio-visual equipment.


Conference rooms support operations

  • Computing and audiovisual support for meetings and events;
  • Incident troubleshooting during an event in a supported room respecting the delays;
  • Continuous monitoring, maintenance and installation of room equipment;
  • Regular quarterly inspections of all rooms, plus daily inspections for highprofile rooms;
  • Reception, registration and stock management for purchased audiovisual equipment and spare parts needed for general maintenance and service requirements (e.g., installations and refurbishments);
  • Create, print and place asset stickers on equipment following the client's template;
  • Management of a loan service for audiovisual equipment;
  • Maintenance of the assets inventory database for purchased audiovisual devices. This includes the registration of items with all required details;
  • Network information maintenance for all connected audiovisual devices in the network database;
  • Installation of audiovisual equipment in conference rooms, including cabling, configuration, tests and room commissioning;
  • Create and print user manuals for each conference room;
  • Take photos of conference rooms for tools for managing conference rooms;
  • Manage bookkeeping for the audiovisual equipment used for maintenance, which includes crosscharging of hardware and software costs via dedicated software;
  • Removal of audiovisual equipment in conference rooms, including cabling;
  • Preparation and operation of special events, including participating in organisational meetings, conception of the audiovisual and furniture requirements, their deployment and operation during the event. After the event, all equipment shall be removed and restored to their original location/state.

Audio and Video conferencing support operations

  • Interventions on request to help endusers start and run a multimedia collaboration session from conference rooms;
  • Technical troubleshooting during a live session;
  • Active remote monitoring of up to 60 meetings a month;
  • Support for endusers to connect to remote sessions;
  • Maintain and ensure successful operation of both hardware and firmware involved in this service. This includes regular software updates, preventive and reactive maintenance of hardware components;
  • Manage bookkeeping for the videoconferencing equipment used for maintenance, which includes crosscharging hardware and software costs via dedicated software.

Webcast and recording support operations

  • This service is for all operations linked to web streaming, video and audio event recordings, including postproduction.

All webcast/recording sessions require two operators:
one to be present in the room 15 minutes before the event start in order to:

  • start the equipment;
- perform sound check;
- provide support to the event organisers;
- perform equipment check.

the other to remotely start the webcast/recording and monitor it for the whole event duration.


On-site Information Screens and conference rooms PCs

  • Perform physical installations of information screens and their controlling PCs

This includes:
- digital signage screens in restaurants and in various other buildings;
- screens with meeting agendas in front of selected meetings rooms;
- screens and associated PCs built into information totems.

  • Maintain and ensure successful operation of both hardware and software involved in this service. This includes regular software updates, preventive and reactive maintenance of hardware components;
  • Coordinate with departments regarding installation of new information screens;
  • Manage the client's digital signage software system, currently Scala;
  • Maintain custom integration scripts enabling information from different systems to be displayed on screens via these scripts;
  • Assist endusers in publishing their custom content on selected screens using digital signage software system;
  • Ensure licence maintenance for digital signage software system, which includes placing yearly orders via dedicated software;
  • Manage bookkeeping for the Onsite Information Service, which includes crosscharging of hardware and software costs via dedicated software;
  • Manage conference room PCs using the client's configuration management system.

General Tasks

  • Report and log all interventions and activities according to defined procedures;
  • Periodic and background tasks such as inspections, cleaning, etc.;
  • Assist Functional Element (FE) Manager(s) with inventory of consumables (e.g., cables, plugs, adaptors);
