Job description:

Swan is looking for an Executive Assistant to support Nicolas, our CEO, and other company C-level. You work directly with them to support all aspects of his daily work routine.

We're looking for someone who would serve as a primary point of contact between the CEO, his office, and external contacts person.

You must be comfortable interacting with high-level executives. You must be a team player capable of cultivating productive working relationships across the firm. Resourceful, can-do attitude. Thrives in a fast-paced environment


Your mission

  • Maintain the CEO's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements.
  • Receive and screen the CEO's mails and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Advise the CEO of timesensitive and priority issues, ensuring appropriate followup.
  • Other additional and/or alternative duties are assigned occasionally, including supporting other departments or Executives as needed.

Preferred experience:


You're a great match if:


  • You have three to five years' of prior experience in supporting a senior executive or team
  • You have exceptional writing, editing, and proofreading skills
  • You are able to talk to a wide range of interlocutors from peer to board member
  • You have excellent organization, timemanagement skills and a high sense of confidentiality
  • Highly structured individual capable of handling multiple tight deadlines in parallel
  • Ability to work independently and manage multiple projects simultaneously
  • Flexibility with changing requirements in an evolving and fastpaced environment
  • Excellent working abilities in French and English
