Description

Duties:

The incumbent is an Office Management Assistant for IO-UNESCO Unit Chief and the Political Section.

She/he reports to the IO-UNESCO Unit Chief and works closely with the Senior Political Section OMS and the IO-UNESCO/POL Assistant.

50 % ADMINISTRATIVE SUPPORT

  • Approves eCCs and Visitor Access Requests. Escorts visitors to the Political Section;
  • Prepares E2 travel orders, hotel and transportation reservations, files travel vouchers;
  • Submits myServices office maintenance/ technology requests, CAA Office Supplies/ Lyreco orders;
  • Drafts and prepares diplomatic notes, accreditation letters, faxes, letters, memos and cables as directed;
  • Compilation of Daily IO-UNESCO News Clips
  • Prepares UNESCO Executive Board and General Conference E-Book
  • Notetaking of IO/UNESCO meetings, as needed
Compilation of "France in Focus" and "Daily Action Message" distributio, as needed;

  • T&A for Political positions;
  • Schedules meetings for Political Section and UNESCO;
  • Assists with UNESCO and Political Section VIP visits and Representational events;
  • Responsible for safeguarding classified material;
  • Morning paper and mail pickup, pickup cables from IPC and distribute to Political Section officers;
  • Backs up the Political OMS and UNESCO/POL Administrative Assistant when absent.
Compilation of "France in Focus" and "Daily Action Message" distributio, as needed;

  • Schedules meetings for Political Section and UNESCO;
  • Assists with UNESCO and Political Section VIP visits and Representational events;
  • Responsible for safeguarding classified material;

50 % UNESCO-RELATED SUPPORT

  • Acts as a resource for contacts within UNESCO and UNESCO Member States to facilitate meetings, gather information; the level of contact includes highlevel representatives including Ambassadors, Deputy Permanent Delegates, Assistant Director-Generals, section or Department Chiefs;
  • Responds to UNESCOrelated calls, correspondence, DipNotes, and requests for information;
  • Assists with administrative preparation for UNESCO's Executive Board and General Conference and other UNESCO meetings/conferences, including working with UNESCO Secretariat regarding delegation accreditation/credentials and publication/translation of U.S. statements;
Reviews daily classified and unclassified cable traffic and flag action items related to UNESCO;

  • Coordinates participation of Political Officer covering UNESCO in teleconferences, DVC's etc., with Washington principals;
  • Ensures support to UNESCO Affairs section and Washingtonbased delegation members during the Executive Board and General Conference and other UNESCO meetings/conferences;
  • Monitors Paris UNESCO general inbox; distribute accordingly; flag meetings/information requests; respond as directed;
  • Facilitates communication between UNESCO, Post, and Washington on status of U.S. assessed contributions to UNESCO;
  • Ensures Washington remains informed of planned visits to the USA by UNESCO officials;
  • Assists Political Officer covering UNESCO with coordinating input for Post's Mission Resource Request and, as appropriate, the Integrated Country Strategy.
  • On occasion, attends official meetings and provides concise summaries and/or cable readouts.

Qualifications and Evaluations:


  • Requirements:

WORK EXPERIENCE:
At least 3 years of prior office management or secretarial experience

  • Education Requirements:
Two years of Post-Secondary school.

LANGUAGE:
(THESE WILL BE TESTED): Level IV in English (Fluency) is required. LeveI I French (Basic) is Mandatory.

SKILLS AND ABILITIES 5THESE MAY BE TESTED): Good knowledge of State Department guidelines, FAM regulations and Embassy internal policies. Basic knowledge of UNESCO equivalents including budget regulations and procedures.

Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Mission in Paris, France may receive a compensation package that may include health, separation, and other benefits.

For EFMs, benefits should be discussed with the Human Resources Office.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
