SMALL FORMAT COLLATERAL


Small format collateral is a term used to describe any small items which require to be printed and which can be used across multiple venues utilizing a consistent design throughout such as wristbands, lanyards, lollipops, etc.

Items not included would be things such as venue signage, furniture or larger items which require to be professionally installed.

THE ROLE


As a Small format collateral coordinator for Paris 2024 Hospitality Program during the Paris 2024 Summer Olympic Games, your primary responsibility will be to handle deliveries from On Location warehouse to the different On Location venues (hotels, in-venue hospitality lounges and off-venue hospitality) according to a specified plan established venue by venue.

You will work closely with the small format collateral team to ensure on-time deliveries and quality and quantity control.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES


Primary Responsibilities:

  • Coordinate the dispatch the goods from the On Location Warehouse to the different venues
  • Control of the products (quantity and quality) according to the proof of concept
  • Work together with every venue manager to identify the best days, time and place for deliveries
  • Check with every venue manager the good reception of items (quantity and type of items)
  • Resend the goods remaining in the different venues to the OL warehouse after the event
  • Work on post event disposal plan with the SFC Manager

Specific Responsibilities of Small format collateral coordinator:

  • Planning deliveries
  • Working with the different venue managers to plan deliveries according to:
  • Restrictions
  • Requests
  • Arrival of the items at the warehouse
  • Quality and quantity control
In case of any improper product or discrepancy between the quality or quantity ordered, report directly to the SFC Manager

  • Study the possibility of reorder by contacting the vendors
  • Offer solutions to compensate the product or quantity missing
  • Operational Cover
  • Organizing of an agenda of the deliveries to each venue
  • Coordinate with the gifting team the items which are dispatched to the same venue (slippers in hotels) and lollipops which are to be packed in the staff bags.
  • Organizing redispatching of the goods to the different venues in case of initial delivery to the wrong venue
  • Organizing the recollection of the remaining items in each venue after the event

Travel
