SUMMARY


On Location is searching for an HR Operation Assistant, to be based at our Paris offices overseeing mainly all hospitalities for the Olympic and Paralympic Games in Paris 2024.

Your role will be our HR support for all Olympics employees in France, in different areas as Recruitment follow up, Onboarding, HRIS management, interface with Payroll and other HR projects you'll be assigned.

You'll be reporting to our HR Manager based in France.

THE ROLE


The HR team is critical to ensure an exceptional employee experience (EX) and valuable service delivery across On Location team members, business units, and departments.

The HR Operations Assistant is a key part of the HR team and will provide dedicated HR transactional support.

This individual will be detail oriented, able to prioritize and manage deadlines, and work closely with the broader HR team to ensure accurate data related to the full employee lifecycle and HR operating model at On Location.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

  • Collaborate and assist all new hire onboarding, job changes, and HR action forms in coordination with the HR team.
  • Work with the recruitment team to process position requests and other recruiting tasks as assigned.
  • Draft contract, promotion and salary modification letters for new hires and existing employees in coordination with HR team.
  • Coordinate, and track new hire Onboarding tasks and status Workday
  • Support the presentation of all employment documentation
  • Support the HR team on Payroll to ensure all employees are paid accurately and on time
  • Gather and verify variable elements
  • Followup and collect time tracking datas from Workday (Time tracking System/HRIS) to process it through payroll
  • Liaise with IT, office admins, and facilities teams regarding equipment, systems access, office assignments, and building/office credentials.
  • Coordinate various administrative needs across On Location offices.
  • Support all employee questions related to HR topics
  • Manage friendly and clear communication and collaboration with employees and managers when explaining HR process.

QUALIFICATIONS

Required Education and/or Experience, Knowledge, Skills, and Abilities:

  • A first HR experience would be highly appreciated
  • Fluent in both French and English.
  • Has a learning mindset, natural curiosity, problem solving ability, and drive to deliver high touch service delivery.
  • Excellent computer skills and experience working in Word, Excel, PowerPoint, Visio, etc.
  • Ability to multitask and manage through competing priorities.
  • Strong organizational and time management skills.
  • High ethics and ability to safeguard and maintain confidential information.
  • Great teamwork and ability to maintain respectful and positive relationships.
  • Bring creative ideas that serve to move the HR function forward.
