The AMEC Projects & Operations (P&O) Department Assistant reports to the Lead project Assistant.

She / He will be supporting all P&O functions defined as follows:
Project Manager pool, Operations, Fabrications, Contract, Project Control.

All personnel are expected to contribute to creating a positive HSEQ culture within Subsea 7 and ensure familiarity with and adherence to local HSEQ codes and practices.


KEY RESPONSIBILITIES

  • Liaise with internal and external stakeholders; visa agents, Departments teams to ensure that timescales are possible for visas to progress.
  • Ensure all the important documents, i.e. passport, are kept safe and returned to personnel,
  • Where applicable ensure timely renewal of visas for countries.
  • Ensure Visa processes are continually updated with the latest requirements.
  • Providing comprehensive administrative support to each P&O functions and their dedicated team.
  • Organize set up of new starters and leavers including management of distribution lists.
  • Organize special events such as team building, workshops, and internal inductions.
  • Arrange/attend meetings: room bookings, invitations, refreshments, preparation of documents and agendas, equipment setup, minutes, action tracking, as required.
  • Assisting with expenses as and when required via SAP Concur.
  • IT Requests and troubleshooting for the Team. Cover similar work as and when required including holiday cover for the pool of Admins.
PROFESSIONAL QUALIFICATIONS & EXPERIENCE

  • More than 10 years relevant experience.
  • Proven relevant experience.
  • Proactive, flexible with a cando attitude.
  • Effective Communication.
  • Good proficiency in written and spoken English.
  • Creates agendas and takes meeting notes.
  • Proficient with Microsoft Office Programs.
  • Strong Prioritization and Organization Skills.
  • Ability to Handle Confidential Information and work without supervision.

PERSONAL SKILLS

  • Strong analytical skills
  • Creative problem solving able to suggest and develop new methods and ways of working
  • Sound communication skills able to communicate ideas and results to various stakeholders both in written reports and in meetings, presentations etc.
  • The ability to work in a team as well as individually with a minimum of supervision
  • The ability to organize and prioritize own work and as such have responsibility for discrete work packages ongoing simultaneously
