The Admin Assistant will be the key contact point between visitors to the office and the office based personal.

You will also be the focal point for the couriers and postal services within the building and will assist the local Sr Facilities Coordinator in the daily tasks.


  • Essential Functions:
  • Greeting Clients and staff
  • Ensuring that the visitor book is always completed
  • Answering telephone calls
  • Keeping the reception and meeting rooms tidy
  • Maintaining equipment booking logs
  • Monitoring security equipment / access badges
  • Ordering and maintaining stock regarding general office / kitchen supplies and validate orders placed by colleagues

Office Admin

  • Sorting and distribution (place in mail boxes) and franking of mail
  • Ensure contractors sign in / out
  • Log and distribute deliveries
  • Report any accidents or incidents.
  • Raise purchase orders and validate invoices
  • Perform utilization reports
  • Manage printers
  • Assist with archiving
  • Check the Cherwell ticketing system

Education and Experience:


  • High school/secondary school graduate or professional certification
  • Previous clerical or administrative experience (comparable to 02 years)
  • Or, an equivalent combination of education, training and experience that provides the knowledge, skills and abilities to perform the job.

Knowledge, Skills, Abilities

  • Fluent spoken and written French with a good knowledge of English
  • Good communication, organizational and interpersonal skills.
  • Reception experience is an asset
  • Switchboard experience is an asset
  • Knowledge of administrative procedures and organization systems.
  • Good Microsoft Office skills.
  • Ability to deal professionally with highly confidential information and matters.
  • Good attention to detail and accuracy.
  • Positive attitude and ability to work effectively with others at all levels of the organization.
