***: The Destination Services Administration Assistant is responsible for tenancy progression and supporting the direct delivery of destination services to include home finding, settling in services, basic schooling in France, departure services, and for ensuring a positive relocation experience for the assignee and family.


POSITION RESPONSIBILITIES:


  • To work with the Destination Services Consultant in delivering the services outlined in the client's policy documents
  • Have general knowledge of Consultant's assigned clients' programs
  • Review all tenancy agreements and tenancy documents once the offer is accepted. Liaise with the assignee and the estate agent for smooth progression of the tenancy.
  • Respond to general inquiries from assignees when Consultant is not available
  • As directed by the Consultant, assists in researching services, information, and documents on assignees; updates Altair technology systems
  • Prepares area information, settling in services documents, guides to living and working in France
  • Audits assignees files for completeness prior to closing
  • Any additional assignments, activities, and/or projects as requested by the Consultant or Altair management
  • To liaise with clients and assignees to determine their requirements
  • To assist assignees with relocation needs, either domestically or internationally, to include:
  • Negotiating lease terms and conditions with agents and landlords; obtaining lease consents and copies of relevant safety certificates
  • Property/Tenancy Management; including coordination of rental payments and deposits, arranging inventories as required; assisting with connection of utilities by liaising with Utility Companies and client and assignee
  • Providing assistance as required with opening of bank accounts
  • Preparing documentation relating to invoicing and forward to Finance or Assignment Management Department
  • Assisting with departure services; including formal notice to landlord, cancellation of utilities, arranging exit inventory as required, negotiating dilapidations between tenant and landlord, initiate outbound removals
  • To provide a high level of customer service to the assignee and client company throughout the relocation process
  • To maintain high standards and ensure compliance with KPI's
  • To maintain and enhance relationships with both clients and other internal stakeholders

EDUCATION:

Good level of English and Mathematics required. Good computer skills essential.


TRAINING and EXPERIENCE:


  • Experience of internet and paper based real estate research
  • Must be fluent in French (both written and verbal).
  • Minimum 1 year office based experience required
  • Excellent interpersonal and communication skills with internal and external clients
  • Strong ability to work with people from a diverse background and origin
  • Mature, selfsufficient, diplomatic, logical
  • Experience of external client facing developing relationships, dealing with new clients
  • Positive, selfmotivated, resilient, very proactive
  • Experienced at problem solving, alleviating concerns and resolving conflict
  • Ability to perform responsibilities in French
  • Good knowledge and understanding of French rental market
  • Able to confidently communicate/interface at multiple levels across the Company, with assignees, clients and service partners
  • Excellent negotiating and persuasion skills
  • Strong project management skills; ability to manage multiple projects simultaneously
  • Calm under pressure; well developed conflict management and consensus building skills
  • Deadline and time sensitive
  • Cost, expense and budget sensitive
  • Ability to make effective business decisions based on factual information using good, logical decision making skills
