The Role:
M&G Investments (France) are looking an Office Manager to join the team in Paris on a fixed term basis for 7 months (from May November We are looking for someone who is proactive and organised with the ability to build and maintain effective working relationships.
You will be the main point of contact for all matters relating to the managing the smooth operation of the office environment, which includes administration, finance and HR support and social events.
Key Responsibilities:
Office management:
- Serve as principal contact with building for maintenance issues, building access, safety and evacuation procedures
- Responsible for incoming and outgoing mail/packages, shipping and receiving.
- Responsible for maintenance of common spaces for appearance and functionality.
- Responsible for managing supplies and maintenance of office & office amenities
- Punctual IT support and follow up
HR support:
- Coordinate set up for new hire work stations/work closely with IT and HR to ensure smooth onboarding
- Ordering Lunch vouchers
- Medical checkup
Finance support:
- Prepare and process expenses reporting
- Manage invoice for FR and BL
Team support:
- Coordinate travel arrangements and itineraries
- Follow up on Distribution package budget
- Coordinate French events
- Meeting planning and setup for internal
- Making travel arrangements/schedules (hotels/flights/taxi's)
- Booking and registration for external events
- Summer and Xmas team off site
- Experience with processing invoices
- Previous experience in a similar role
- Travel coordination both domestic and international
