Context


The Pasteur Network brings together 33 public health research institutes located in 25 countries over 5 continents, mobilizing the services of several thousand researchers, engineers, and technicians.

A vast scientific and human community, it actively participates in national and international programs covering research, public health, innovation and training / mobility programs.

The Pasteur Network is an Association (Loi Its governance has recently evolved to be more participative and representative of the current needs of its members.

The Pasteur Network is working on increasing its visibility, developing ambitious collaborative scientific projects and strategic partnerships, and implementing a regional and global fundraising.


Key Responsibilities:

Administrative Support: Provide general administrative assistance to the team, including document preparation, data management, and expense tracking.

Office Policies and Procedures: Support the implementation and enforcement of office policies, ensuring adherence to company standards and regulations.

Human Resources Support:


  • Collaborate with the external HR service to facilitate recruitment processes, employee onboarding, and maintenance of personnel records.
  • Support the onboarding process for new hires, including preparing welcome kits, coordinating training sessions, and assisting with paperwork.
  • Contribute to employee engagement initiatives, such as organizing teambuilding events and activities.
  • Assist in maintaining employee records for payroll processing and managing related administrative tasks.

SharePoint Document Maintenance: Manage and organize office documents on SharePoint, ensuring accessibility, accuracy, and compliance with company policies.

Office Organization: Help maintain office supplies, equipment, and general cleanliness to ensure a productive work environment.

Calendar Management: Assist in scheduling appointments, meetings, and events for the executive team, ensuring efficient use of time and resources.

Travel Arrangements: Assist with booking travel accommodations for business trips, including flights, hotels, and transportation arrangements.

Grant Management (Desirable): Assist in managing grant-related activities, including preparing grant proposals, and monitoring grant compliance.


Profile

  • Bachelor's degree or equivalent experience in business administration, human resources, or a related field.
  • 25 years of experience in an administrative or coordinator role.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal abilities, with a customer service mindset.
  • Proficiency in Microsoft Office Suite, with experience in SharePoint document management preferred.
  • Familiarity with grant management processes and procedures is desirable.
