We are currently looking for a
Faculty Assistant position in the
Faculty department. This is a full-time, permanent position based on our
Fontainebleau campus.


A Faculty Assistant is responsible for providing quality administrative and technical support to a group of professors, facilitating their teaching and research.

S/he autonomously completes specific work requirements for the faculty members, whilst reporting for administrative matters to the Area Manager.

S/he must organise and complete a high volume of work and reconcile conflicting demands, prioritising varied and often last-minute requests and ensuring that all deadlines are respected.


The job holder will be responsible for the following critical tasks:

1. Course Administration

  • Work collaboratively with Faculty, anticipating all course requirements.
  • Interact with speakers, tutors, teaching assistants and graders.
  • Compile and verify the course package.
  • Submit the materials for copyright permission/clearance using an online tool.
  • Liaise with the Printshop, IT, Multimedia and Campus services teams.
  • Organise logistics for simulations, quizzes and exercises.
  • Create and update course websites; manage online polls/surveys.
  • Liaise with the Degree Program Teams for the smooth running of the exam logistics.
  • Compile, verify and enter the grades into the system with the utmost accountability and confidentiality.

2. Office Administration

  • Organise meetings, video and conference calls with both internal and external parties.
  • Coordinate travel arrangements for teaching, conferences and other trip purposes: visas, passports and travel plans.
  • Request on/offcampus conference budgets.
  • Filter, process and follow up on Faculty professional expenses.
  • Design, update and proofread documents.
  • Handle multiple, complex agendas.
  • Translate letters and/or short nontechnical documents occasionally (Europe Campus only).
  • Contribute to the Faculty Evaluation Committee administrative process.

3. Research

  • Assist in research, datamining and information compilation.
  • Format research documents: cases, papers, and books.
  • Create and update databases, surveys and bibliographies.
  • Proofread and edit the format of the articles according to journal guidelines.
  • Coordinate with Research Assistant(s)/Co-Author(s) for meetings, trips and expenses.

4. Additional responsibilities

  • Area Seminars: organise the guest speaker(s) visits, responsible for logistics (IT, multimedia, room booking, campus services, catering and travel arrangements)
  • Oncampus conferences and events.
  • New Faculty: ensure integration
  • Coordination between the Faculty members and the EDP team (client manager(s) and programme coordinator(s)).
  • Prepare and send recommendation letters for graduating PhD students.

  • Technical university diploma (2 years) or an administrative degree.
  • Excellent level of English, fluent in French.
  • Excellent organisation skills and attention to detail.
  • Highly flexible and adaptable with strong interpersonal and communication skills.
  • Sense of initiative and proactiveness.
  • Ability to prioritise, set and meet deadlines.
  • Excellent team spirit and player, with ability ty to work autonomously.
  • Excellent computer skills.
