    Job Purpose

    The Project Administrator will assist the Project Management team in EnerSys. This individual will carry out day-to-day tasks as established by the project teams. This individual will support the administrative activities in projects.

    Essential Duties and Responsibilities

    Supports and provides reports of schedule issues, resource issues, and roadblocks. The functional areas of responsibility include but are not limited to:

    • Convert quotes from vendors into Pos including all the BAAN and supplier coding and acquiring the appropriate approval structure.
    • Submit and track the progress of AR's and AR changes through the AR approval process.
    • Track spending against ARs and put cash flow numbers into a reporting tool for other stakeholders to enable quick review of budgets and scope changes.
    • Track Purchase Orders so that invoices are paid on time and when it becomes appropriate to pay.
    • Follow-up on Purchase Orders with regular requests for timing from vendors to catch issues with receiving materials.
    • Schedule and track shipment of samples, and materials to various test houses, other EnerSys sites or customers.
    • Procure required documentation and file NDA submittals with new test houses and vendors through the EnerSys automated system.
    • Add new suppliers to the Approved Vendor List (Procurement signoff, tax documents, online submittal).
    • Support schedule generation for various projects assigned to and maintain the schedule of the assigned projects as well resource allocation in collaboration with the project managers and functional managers to ensure schedule remains on track.
    • Creation of low-risk project, sub-projects, or work package timeline and milestones
    • Monitor and control all project deliverables while continually identifying and addressing project issues or risks.

    Qualifications

    • 2.year AA degree in Business Administration, Project Management Certificate, or related discipline. Maybe offset with experience of 5+years.
    • Able to coordinate and plan department activities and interface with multi-departmental groups.
    • Must have excellent interpersonal skills in working in a high-stress team environment.
    • Ability to work independently.
    • Hands-on experience in a fast-paced environment.
    • General knowledge of documentation and release process to start.
    • Good working knowledge in Microsoft Office applications such as Word, Excel and PowerPoint.
    • Track department budget.
    • Manage new hire onboarding.
    • P-Card management
