OVERVIEW OF THE FUNCTIONS OF THE POST

The International Task Force on Teachers for Education 2030, also called The Teacher Task Force (TTF), was created in 2008.

It was previously known as the International Task Force on Teachers for Education for all.

Its new name reflects the alignment of the Teacher Task Force's work with the new Sustainable Development Goals (SDGs) adopted by the United Nations in September 2015, and more particularly SDG 4, the goal dedicated to "ensure inclusive and equitable quality education and promote lifelong learning opportunities for all".

Under the authority of the Director of the Division of Policies and Lifelong Learning, and direct supervision of the Head of the Secretariat of the International Teachers Task Force (ED/PLS/TED/TTF), the incumbent will undertake the following tasks and responsibilities:


Receive, register and distribute mail, correspondence and other documents; follow up on deadlines for required action; prepare routine correspondence and provide answer to requests for information, attaching relevant documentation; review correspondence and other documents prepared in English and/or in French by Programme Specialists and make or recommend changes to format, style, spelling or grammar; and do informal translation of documents.

Maintain the Teacher Task Force secretariat's files and reference systems, and other manual and computerized information and reference systems (e.g. leave reports, travel schedules, work plans, mailing lists) according to the rules issued by relevant UNESCO management units.
Prepare/process various documents (e.g. briefs, reports and other documents); proofread and reformat or finalize the formatting of documents using various software (e.g.

MS Word, PowerPoint etc.); and collect and organize information and data related to the Teacher Task Force Secretariat's programs and activities from a variety of sources (Internet, Intranet, office files, records, etc.) and present it in required format.

Assist in the organization of meetings (virtual and face-to-face), missions, international conferences, Steering Committee meetings and other events related to the Teacher Task Force Secretariat's programs; arrange for meeting facilities and equipment, make Travel arrangements, prepare correspondence and assemble documents for participants; participate in meetings, take notes and prepare minutes of meetings, and follow-up on deadlines for required action.

Prepare draft contracts and enter contract details in FABS as approved by the person responsible for the activity, and follow up as necessary; coordinate the acquisition and day-to-day maintenance of the Teacher Task Force secretariat's office equipment, material and supplies.

REQUIRED QUALIFICATIONS
Education

Completed secondary, technical and/or vocational education.

Work experience


Minimum 5 years of relevant work experience in administrative and/or secretarial tasks of which at least 2 years working for a supervisor with managerial responsibility.

Experience in providing administrative and organizational support for large events.


Skills and competencies

Excellent interpersonal and communication skills.
Excellent organization and coordination skills.
Discretion, good sense of judgement and capacity to deal efficiently with external partners, in particular TTF members.
Ability to work as part of a team and to provide quality and timely support and services.
Ability to work under pressure and flexibility to adjust work schedules and priorities.
Excellent IT skills with proficiency in the use of MS Office (Outlook, Word, Excel, PowerPoint, etc.)
Very good drafting skills in English and French.
Ability to work in a multicultural environment.
