OVERVIEW OF THE FUNCTIONS OF THE POST


Under the overall authority of the Assistant Director-General for Culture (ADG/CLT), the general supervision of the Chief of the Living Heritage Entity and the direct supervision of the Programme Specialist in charge of the Statutory Support Team within the Programme Management Unit of that Entity, the Contractor shall contribute to the implementation of the programme and projects organized within the 2003 Convention for the Safeguarding of the Intangible Cultural Heritage (hereinafter called the 2003 Convention).


In particular, the incumbent shall:

Long Description

Support the preparation of the statutory meetings of the Governing Bodies of the 2003 Convention by preparing and monitoring plans for administrative and logístical actions, sending out correspondence and communications to representatives of the Member States and other stakeholders, such as Category 2 Centres, members of the Evaluation Body, NGOs, and experts, gather, collate and summarize relevant background information, and track and maintain files and records; in liaison with the Communication, Cities and Events Section (CLT/CCE) and other central services of UNESCO, make logístical arrangements for the preparation of statutory meetings; support the work of the taskforce supporting the Governing Bodies of the Convention throughout their meetings.


Assist in the preparation (including updating, preparing templates and also drafting), in English and French and according to standards and formats, of correspondence, documents, draft resolutions and decisions, forms, reports, briefings, notes and presentations related to statutory meetings; these tasks include the drafting, formatting and finalization of working and information documents, scenarios and presentations for the statutory meetings of the Governing Bodies of the 2003 Convention.


Participate in the maintenance of the 2003 Convention's webpages related to statutory meetings and mechanisms; enter information in the database of the Convention necessary for the preparation of webpages of the statutory meetings and assist in the online publication of statutory documents.

Long Description

Assist in the updating and publishing of the forms in English and French for nominations to the Lists of the Convention, proposals for the Register of Good Safeguarding Practices, requests for International Assistance as well as reports submitted by States Parties and accreditation reports and requests from non-governmental organizations.


Informally translate correspondence and documents from either French/English into the other language and assist in the parallel reading to check linguistic coherence between these two languages, as necessary.


Prepare and ensure the timely execution of contracts, follow-up all measures concerning payments, including verification with the terms of contracts, and draft reminder letters.

Liaise with CLT/AO and CLT/CCE for the preparation and monitoring of statutory meeting obligations.

REQUIRED QUALIFICATIONS
Education


Minimum requirement:
Completed secondary, technical or vocational education.

Work experience

A Minimum of two (2) years of work experience in supporting programmes and projects in fields related to culture.

Skills and competencies

Very good knowledge of office software (Outlook, Word, Excel, Power Point, etc.).

Ability to manage information objectively, accurately and confidentially.

Flexibility and adaptability to work schedules and priorities according to workload, emergencies and deadlines.

Ability to design, work and execute tasks independently with thoroughness, care and method.

Ability to work with and within multicultural teams.

Excellent inter-personal skills and the ability to work effectively in a team and in a multi-cultural environment.

Good knowledge of IT skills (Microsoft Word, Excel, PowerPoint, Intranet, Internet, etc).

Languages

Excellent knowledge (written and spoken) of English and/or French and good knowledge of the other language.


DESIRABLE QUALIFICATIONS
Work Experience

Relevant professional experience in UN System or at the international level.

Languages

Knowledge of another/other official UNESCO language(s) (Spanish, Russian, Chinese and/or Arabic) is an asset.
