About the role


We are looking for an Administrative Specialist to support our French subsidiary in Sophia-Antipolis and be responsible for the Back office management, invoicing & conventions, support for accounting/ social / fiscal declarations, HR support, BPF preparation and reporting.


You will also collaborate with our operational staff members to co-ordinate scheduled Learning events, as well as being responsible for the moderation of some virtual classes and supporting our pool of French moderators and any new deployment from a moderation standpoint.

With responsibility for establishing and maintaining excellent customer and staff relationships, you will ensure total customer satisfaction.


This role will follow a hybrid working model with time spent remotely and at our office facilities in Sophia Antipolis, Mougins, France.

On a day to day basis you'll:

  • Handle our back office
  • Liaise with and support our accounting services in France and in the UK, prepare the information required for the social and fiscal declarations,
  • Support the troubleshooting and the declaration of Tax statements (Social charges and contributions, VAT and other corporate taxes),
  • Raise client invoices and Conventions de Formation,
  • Provide HR and people administration support,
  • Prepare the BPF,
  • Prepare financial and operational reporting where needed,
  • Support the scheduling, the enrollments, logistics, sales & billings of our clients' learning events,
  • Provide session support and moderation services to our clients (in French or English) and to the other French moderators,
  • Where possible provide value added services as appropriate for continuous improvement.
  • Ensure that the Equality and Diversity, Health and Safety and Quality Operating Policies and Procedures are adhered to within your area of responsibility and that any noncompliance is reported to your Manager.
  • Support a culture that promotes teamwork and discourages divisiveness at all organisational levels.

What we need


You'll be supporting our clients in France and therefore fluency (written and spoken) in both French and English is an imperative.


Required competencies:

  • Significant experience within a similar administrative role,
  • Being strongly customer focused and customer oriented,
  • An ability to work in a virtual team,
  • Excellent verbal and written communication skills, whether this is in French or English,
  • Excellent organisation skills along with strong proven skills in the areas of follow up, efficiency & continuous improvement, confidentiality,
  • Assertiveness, resilience and a strong problemsolving orientation.

Additionally we would value:

  • Good standard of education with a prior experience within training administration or with a training company
  • Fluency with a third language (Italian, etc.)
  • Advanced knowledge of Excel
