Job title:
Customer Service Executive


Salary:
€25,000 for a one-year contract


Job Responsibility:

  • Daily Order Processing
1) Handle customer orders including PO content. Coordinate with Technical Consultants (TC), Production Planner, SAP Data Team, Data Group and Engineering Team for order release.

2) Ensure the requirements of the first order received are in accordance with its sales contract (per policy requirement).

3) Filling completed set of Sales order after goods delivered.

That including customer Purchase Order, Invoice, packing list, Internal Purchase Order, Invoice Packing List, Airway bill and other supporting documents.


  • Daily Shipment Planning
1) Synchronize daily shipment plan with Production and notify the customer on the shipment status, confirm shipment plan with Beijing Logistics before shipment date on a daily basis.

2) Maintain shipment plan with respective sales region and respond to sales region/customer request on change of schedule on a timely basis.

3) Arrange shipment with forwarder and Beijing Logistic team once production confirms the schedule. Prepare all required documents for customs clearance.


  • Customer Complaints Handling
1) Receive and report customer complaints to the quality department through the OA system. Follow up for incidental reports and action plans. Provide the final solution to the customer based on the QC department's suggestion. Record and file customer complaints.

Ensure that customers' inquiries and complaints are handled professionally, effectively and systematically in a timely manner, in accordance with the company policy.

2) Comply with "Customer Requirement Processing Procedure", "Customer Satisfaction Assessment Control Procedure", "Customer Complaint Handling Process".


  • Sample preparation
1) Coordinate with the customer and sample team to provide the digital preview and physical sample.

Administrative tasks:
additional office admin tasks will be timely requested like documents supports to reply to tenders, filling, requesting quotations. (the list is not exhaustive)


  • Other tasks and supporting work
1) Assist EMEA sales region to generate the internal PO and invoice through MYOB. Filling supporting documents for audit purposes.
