    Job Purpose

    The Admin officer & HR Assistant is responsible for managing the France office and facilities while coordinating the provision of human resources-related tasks linked with Health & Safety regulations, Training obligations, Internships, and temporary staff.

    Key Responsibilities

    • management:
    • Identify and meet the needs of the different teams of the company about office and facilities requirements.
    • Ensure security and maintenance in good condition of the equipment, installations, and the overall office. This includes managing the business relationship with IT and Reception outsourcing companies, Office security and Cleaning companies, and any other third-party company.
    • Manage the business relationship, the provision of services, and the contractual agreements for:
    • Business travel: travel policy, travel agency, online tools, invoicing, employees' use and usage.
    • Company cars: policy, and daily management with the region's car leasing companies, in line with local statutory and payroll requirements.
    • Insurances: travel, France office building, car park, social responsibility, company cars, flats.
    • France expatriates' accommodation: flat search, utilities set-up and management, agency/landlord relationship, occupation planning, etc in line with statutory and payroll requirements.
    • France office cleaning and general services (coffee machine, water fountain, etc).
    • France Landline and mobile phones fleet.
    • Design, implement, manage, and review company policies in line with HR policies.
    • Manage the France office Receptionist's daily activities.
    • First point of contact for facilities and general services topics for both internal and external parties.
    • Resources Missions:
    • Responsible for the France Document Unique, Accidents register, and annual prevention program.
    • Ensure the safety and security of employees, through particular actions of training, holding security registry, and regulatory controls.
    • Main point of contact for the France Occupational Health and Prevention body, ensuring periodical and exceptional medical visits are planned accordingly with employees.
    • New Starters HR induction and Leavers process and requirements, in conjunction with the HR team.
    • In charge of the full recruitment and onboarding process for internships, apprenticeships, and temporary staff.

    Profile and Experience

    • Familiar with French society and humanities,
    • Bilingual in Chinese and French,
    • Strong sense of responsibility, execution, and reliability, good at communication,
    • Preferably with 1-5 years' experience in administration and purchasing.
