The Secretariat of the ICC International Court of Arbitration is currently recruiting a
Project Officer for the Commission on Arbitration and ADR, ICC's unique think tank and rule making body in the field of international dispute resolution.


The role
Organise and overseeing Commission events (in person, online and hybrid meetings):

  • Finding and coordinating with venues, AV, catering
  • Drafting and sending out invitations/mailings via CRM
  • Collating participations (internal and external), managing registrations, payments, and invoicing
  • Monitor and provide backoffice support addressing participants' needs
  • Assist in the coordination with speakers/panellists
  • Assist with preparation of meeting documents, including agendas, slides for presentations, as well as the followup documents, such as transcripts and executive summaries
  • Creation and management of events on the ICC DRS App etc.
  • The main annual events are:
  • Commission on Arbitration and ADR meetings and dinners taking place at least twice a year, in Paris and abroad, involving more than 800 participants (in person and online), as well as other Commission Meetings held online
  • Steering Committee meetings and dinners held (bi) monthly
  • Task Forces and Working Group meetings (currently three active Task Forces plus additional tracks)
  • Global Launches of Commission Reports and Guides
  • Visits from national committees and others to ICC HQ
Assist the Secretary to the ICC Commission on Arbitration and ADR in managing the commission activities and projects:

  • Communicate and prepare draft communications with Delegates, National Commissions, Steering Committee Officers and answer their queries
  • Assist with Membership Renewal, including follow up with nominations/renewal of terms (contact with ICC national committees and delegates)
  • Assist in maintaining an uptodate record of Commission Members including status, attendance at meetings and contact details
  • Assist the Secretary and Commission Chair/Officers in preparing draft reports and commission documents, preparing background documents and briefing material (including typesetting, proof reading and formatting)
  • Circulate reports and commission documents to Membership and ICC national committees. Collect and compile comments received
  • Manage the Commission Intranet (CRM and SharePoint)
  • Set up meetings and calls, make travel arrangements when needed
  • Assist with social media and promotion

Requirements:


  • Training in events organisation plus a minimum of 3 years' work experience in events' planning and administration; alternatively, if no specific training, at least 5 years' relevant work experience
  • Excellent written and verbal skills in English and French. Knowledge of an additional language is a plus
  • Great command of MS Suite (Word, Excel, Outlook, PowerPoint, SharePoint, Teams), Adobe, Zoom, CRM.
  • Experience in international and legal environment would be desirable
  • Excellent organisational and communication skills
  • Excellent ability to work well under pressure in a fastpaced environment, including prioritising effectively to juggle competing demands
  • Excellent interpersonal skills, ability to treat others with respect and courtesy regardless of work pressure
  • Excellent customer focus and responsiveness to customer needs
  • Willingness to work to frequent and tight deadlines while maintaining a high standard of work
  • Willingness to work flexible hours during events
