Lyon Workplace Experience (WE) Coordinator


Key Duties and Responsibilities

Office Coordination:


  • You will partner with WE Manager and wider WE teams to design and manage employee engagement activities to promote engagement, culture, and community among employees.
  • Support a culture of inclusivity and diversity.
  • General administration, invoice processing, purchase order processing
  • Support WE Manager managing the operational Workplace budget for the Lyon office, reporting and monthly planning to ensure we meet our FY plan.
  • In charge of ordering stationery supplies and office Equipment
  • Day to day operations of all the service providers: housekeeping, maintenance technicians
  • Communicating with building services (security, cleaning, etc.) and the landlord to ensure smooth and effective operation of the facilities in the building.
  • General support and collaboration with onsite team and local business units, understanding
responsibilities and requirements of stakeholders

  • Organize and execute staff events and EA ERG/Outreach programs
  • Continuously strive to improve and enhance the employees' workplace experience
  • Coordinate site projects according to employee needs and oversee refurbishments and renovations.
  • Performing a variety of tasks to support the overall goals of the Workplace team and required by the Workplace Experience Manager
  • Updating and maintaining department documents and database.
  • Managing visitor experience for internal and external guests

Health & Safety:


  • Updating proactively any legal documentation (ex. DUERP), presentation to the Works Council
  • Ownership of any local Health & Safety local topic / project, proactively anticipating any potential upcoming topic/project
  • Keeping up to date in terms of local and legal requirements
  • Attending trainings whenever relevant within this role (eg. 1staid, fire, electricity training )
  • Organise trainings to get enough people trained on site to respect the fire and health safety obligations (SST mainly)
  • Role of alert to the Leadership team and site manager in case of any Health & Safety potential risk
  • Acting as point of contact for Health & safety topics with external Medical services (eg. in terms of ergonomics, general recommendations for our industry/jobs, etc)

Abilities:


  • Experience & training on Health & safety legal requirements in France
  • A plus: experience with local Works Council interactions & collaboration
  • Excellent communication skills and working with multiple clients.
  • Comfortable and flexible with changing priorities in a fastpaced environment.
  • Confident working in an interdisciplinary environment.
  • Proactive in dealing with issues as they arise.
  • Customer Service oriented and resourceful.
  • Attention to detail and confidentiality are essential.
  • IT literacy, proficient and confident working with various admin / business software

Experience:


  • 3+ years experience within a multinational company preferred
  • Experience within hospitality, real estate or facilities management industry preferred
  • Proficiency English level mandatory
  • This is an onsite role, based in our Lyon office
