Join our team as a Global Executive Assistant - Sustainability & HSE (M/F), where you'll play a pivotal role in providing top-tier administrative and organizational support to our Sustainability & HSE departments.
Your main responsabilities ?
Administrative support:
Provide administrative assistance to department members, participate in the integration of newcomers into the function (material, on-boarding agenda...)
Office management:
Assist with some office management tasks, such as ordering supplies, and managing departmental budgets. Purchase order and payment follow-up
Communication and collaboration:
Act as a liaison between the department and other departments or external stakeholders, ensuring effective communication and collaboration. Coordinate and contribute to communication campaigns such as monthly safety highlights, Safety Golden rules, EHS special days...
Event coordination:
Plan and coordinate department events, such as meetings, workshops, and conferences. Handle logistics, including venue selection, catering, and shared travel arrangements, as needed.
Awards: coordinate submissions, preparation of physical awards and ceremonies.
Data Management specifically in SAP IRIS:
Provide users with access rights (SAP & Qlik Sense)
Update distribution lists for workflows in Iris
Ensure IRIS record reliability to ensure monthly reports acuracy
User training / Update reference documentation (guides)
Help resolve common incidents and report to digital teams
Monitor and qualify IRIS evolutions through testing
Onboarding:
Participate in the integration of newcomers into the function (material, on-boarding agenda...)
One doc document publication: prepare documents and track workflow progress
Ideal Candidate Profile :
Previous experience in an administrative or support role, ideally within a similar department or industry
Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups of people.
Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
Proficiency in Microsoft Office applications,ideally experienced with SAP, QLIK Sense, publishing softwares.
Advanced level in English (C2)
