KEY RESPONSIBILITIES


You will support the HR & Admin team in the administrative follow-up of projects in terms of recruitment and internal talent management.

Support Admin Officer: Assist the Admin Officer in managing daily office operations, ensuring smooth functioning of administrative tasks.

Execute Internal Administrative Processes: Work closely with the team to implement internal administrative processes and policies, ensuring compliance across the organization.

Manage Office Supplies Inventory: Act as a junior office manager by maintaining and updating office supply inventory, ensuring availability of necessary items for smooth operations.

Contract Management and Onboarding: Follow-up on contract signatures and onboardings, ensuring timely completion of administrative formalities for new hires.

Facilities Setup for New Hires: Purchase and set up office facilities for new hires, ensuring their seamless integration into the workplace environment.

HR & Admin Files Maintenance: Update and maintain various HR and administrative files, ensuring accuracy and confidentiality of information.

Participate in HR & Admin Activities: Assist in organising events, meetings, trainings, and other HR and administrative tasks as required.

Personnel Administration Support: Provide support to employees on personnel administration matters, addressing their queries and concerns effectively.

Travel and Accommodation Arrangements: Assist in making hotel arrangements and booking air tickets for employees, ensuring cost-effectiveness and compliance with company policies.

Billing Inquiries and Payments Handling: Handle billing inquiries and payments efficiently, maintaining accurate records and ensuring timely processing.


EXPERIENCE & EDUCATIONAL BACKGROUND

  • Education: Bac + 2/3, specialising in Administration or Human Resources.

Specific skills:

  • Excellent organisational and timemanagement skills.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Proficiency in MS Office Suite and other relevant software.
  • Ability to multitask and prioritise tasks effectively.
  • Knowledge of administrative and HR procedures.
  • Problemsolving and decisionmaking abilities.
  • Foreign language(s): Fluent in both French & English, Chinese is a plus.
This
6-month internship programs are full-time starting from
August 2024, and the average working week is
35 hours.


The intern will receive a monthly gratification of EUR 1000 gross + meal vouchers + partial compensation (50%) of public transport costs.
