Within the Group, you will join a innovative start-up called
Healthanea. We build an open platform meant to change the way people are accessing health services.

The platform aims at interconnecting healthcare services to enable hassle-free & personalized customer/patient journeys, leveraging AI and new standards on health data interoperability.

In order to enable this ambition, Healthanea is building a healthcare ecosystem of insurers, pharmaceuticals, healthcare providers, pharmacy networks and health-tech players.


Healthanea operates as a startup within the AXA Group and your role contributes to making Healthanea as agile, efficient, result driven and organized as possible.


Purpose of the job

The job is divided in 2 complementary missions:


  • Personal assistant of the executive team:

Primary mission of the Personal Assistant is to provide personal support and assistance to the executive staff (5 people) by organizing their agendas, travel, team meetings, team buildings and logistic activities and all that is needed to facilitate the day-to-day progress.

Work internationally with support of the wider Group administrative teams to organize complex meetings, events and engagement activities is key to foster trust with the Executive members this position deals with.

Office manager / Management of the life of the team:
Our team is growing and split in 3 geographies (Paris, Barcelona and Lausanne). It comes with its share of challenges and opportunities to facilitate collaboration and more efficient work.

The Office Manager is responsible for the organization and coordination of office operations, procedures, and resources to facilitate effectiveness, efficiency, and safety for the entire department.

The Office Manager will have a background in organization and administration with the ability to communicate effectively at all levels.

The role requires a self-starter mentality and result driven thinker who is adept at multitasking in a fast-paced environment, able to plan, prioritize, and organize individual and group activities and processes.


Main activities
-
Personal Assistant to the CEO & executive teams

  • More than a point of contact, a referent for other departments and entities working with Healthanea;
  • Agendas, travels, expenses, events, logistics, communications, for CEO and all teams;
  • Coordination with Communications team formal communication, Townhalls, events,
  • Coordination with Financial department policy, expenses, and purchase orders;
  • Coordination with HR department interviews, onboardings, off boardings, distribution lists,
  • Coordination with Physical Security department logistics travels and travel manager;
  • Coordination with IT support onboardings and events.

Office Manager

  • Create, animate, and federate the new Healthanea through communications and events as privileged moments, seminars, workshops, team buildings, offsites, breakfasts, lunches, dinners,
  • Coordination with Financial department policy, expenses, and purchase orders;
  • Coordination with HR department interviews, onboardings, off boardings, distribution lists,
  • Coordination with Physical Security department logistics travels and travel manager;
  • Coordination with IT support onboardings and events;
  • Create and build all internal Healthanea events;
  • International coordination and information sharing with all Healthanea division;
  • IT equipment orders and followup (devices and smartphones);
  • Order of new supplies and Healthanea goodies.

Votre profil:


  • Technology savviness. At ease manipulating different travel booking systems and understanding different expense systems;
  • Pragmatic and strong organizational / planning skills;
  • Excellent time management skills and ability to multitask and prioritize work;
  • Selfstarter mentality and strategic thinker who is adept at multitasking in a fastpaced environment, able to plan, prioritize, challenge and organize individual and group activities and processes;
